DEVELOPMENT COORDINATOR

THE ROYAL WINNIPEG BALLET IS SEEKING A DEVELOPMENT COORDINATOR TO JOIN OUR TEAM FOR A TERM POSITION

SUMMARY STATEMENT

The Development Coordinator works collaboratively with the entire organization, performing the administrative tasks for all fundraising initiatives. This includes individual campaigns, sponsorship and corporate campaigns, and fundraising and development events. This position supports the Development Department, participating at events and shows. The maintenance of confidentiality concerning RWB’s affairs and the highest level of professionalism are required.

This is an approximate 1 year term position from September 2019 to October 2020.

DUTIES AND RESPONSIBILITIES

DONOR SUPPORT MANAGEMENT

  • Ensure the timely and accurate processing of donations, tax receipts and donor correspondence
  • Process renewals, reminders and thank you letters monthly
  • Ensure the timely and accurate updates of donor records
  • Ensure the timely response to donors and provisions of superior service
  • Generate fundraising reports and monthly reports to the RWB Board of Directors

CAMPAIGN AND EVENT SUPPORT

  • Coordinate donor listings for RWB publications, including house programs and the annual report
  • Support development activities at each Company show, including contributing to the Concert Hall Memorandum, coordination of the transfer of development materials to and from the venue, set-up at the venue, staffing pre and post show receptions and events, and direct appeals
  • Provide administrative support for other company and school events as assigned

FUNDRAISING AND DONOR EVENTS

  • Work closely with the Stewardship Officer to organize the event and provide administrative support
  • Prepare invite lists with the Stewardship Officer, prepare invites and track RSVP’s
  • Organize volunteers needed for the event
  • Act as a first point of contact or liaison for the Development department

Annual RWB Gala:

  • Provide administrative support
  • Coordinate and attend committee meetings, record and distribute minutes in a timely manner to required staff and committee members
  • Prepare auction letters and track received prizes
  • Coordinate the preparation of prize packages and write-ups; liaise with Gala Committee, staff, and contract support to update auction website
  • Process all tickets, donations, and tax receipts
  • Track table sales, seating requests, food accommodations and communicate meal requests
  • Assist in set-up and tear down of the venue
  • Coordinate thank-you letters for auction donors
  • Generate invoices for ticket sales and track payments

DATABASE FUNCTIONS

  • Manage donor data, report on key findings for further analysis and development plans
  • Work with the Individual Giving Officer to extract donor data for monthly renewals and direct mail campaigns
  • Ensure the efficient and effective use of database management and fundraising software
  • Manage profiles within the Tessitura database
  • Coordinate with Marketing to update and revise Development content on the RWB website and social media

VOLUNTEER MANAGEMENT

  • Coordinate and oversee volunteer attendance for counting money following Pass the Slipper activities
  • Develop a volunteer base for Ballet in the Park, provide training and information for volunteers at the event and organize all on-site Development activities
  • Coordinate, prepare and source volunteers to help at the Annual Gala event

OTHER DUTIES

  • Ensure the cultivation of relationships of mutual regard and respect with donors, sponsors, funders and stakeholders
  • Generate Purchase Orders to initiate payment for Development department expenses
  • Track and file all Development department expenses against budgets
  • Manage and maintain the Development department calendar
  • Other duties or special projects as assigned

WORKING CONDITIONS

This position works in an office environment utilizing standard office equipment such as a desk top computer, phone and printer. This position requires regular and ongoing face to face and phone communication, email and written communication with both internal and external stakeholders. Participation in events and shows outside of regular office hours is required.

EDUCATION AND QUALIFICATIONS

  • 2 years’ experience in a not-for-profit organization; preferably with fundraising experience
  • 2 years’ experience with database/record management
  • Experience using a donor database management system preferred
  • Meticulous attention to detail and well-developed organizational skills
  • 2 years’ superior customer service experience
  • 2 years’ experience in selection and recruiting activities of volunteers for events
  • Post-secondary degree an asset
  • Experience and/or interest in the arts and cultural sector an asset
  • Clear Criminal Record and Child Abuse Registry checks

  • Proficiency in the use of computers and current related software
  • Ability to establish and maintain effective relationships with co-workers and the general public
