The Role

The Data Services Administrator manages the day-to-day operations, builds, and maintenance of the Tessitura database, supporting the Company, School, Development, and Marketing departments. This role safeguards data integrity, ensures system functionality, and delivers timely reporting across ticketing, class registrations, and fundraising. Working closely with the Data Services & Analytics Specialist, this role is key in generating analytics and reports to guide organizational decision-making and sales planning.

Key Duties

  • Execute database builds for performances, classes, events, and activities.
  • Assist in maintaining essential database elements including general ledger codes, funds, campaigns, source codes, events, attributes, and constituencies.
  • Support training needs by developing materials and resources for staff.
  • Conduct database training and onboarding for new Tessitura users.
  • Assist in implementing database system security, including confidentiality procedures, user and group profiles.
  • Provide troubleshooting, resources, and ongoing training for staff on new Tessitura initiatives.
  • Serve as the primary point of contact for daily Tessitura issues.
  • Support the Data Services & Analytics Specialist in performing quality control audits to ensure data accuracy and integrity, escalating issues proactively.
  • Generate timely and accurate lists for ticketing, subscriptions, groups, donor data, campaigns, appeals, funds, and designations.
  • Support the set-up of subscription and school payment plans, and monthly pledges.
  • Manage and maintain promotional codes and pricing rules.
  • Oversee technological aspects of the Box Office including ticket scanners, boca printers, and on-site box office set-up at shows.
  • Manage patron account data, ensuring updates and accuracy.
  • Coordinate with the Customer Service Supervisor on Box Office database operations, including performance builds, promotions, discounts, reporting and other needs.
  • Develop and distribute daily sales and fundraising reports.
  • Assist with TNEW site management, including settings and content.
  • Support the Data Services & Analytics Specialist in evaluating annual sales plans for performances and classes.
  • Other duties as assigned.

Education & Qualifications

  • Post-Secondary education in Computer Science, Database Administration, or Information Technology; equivalent experience with SQL-based enterprise systems may be considered.
  • Troubleshooting abilities for hardware and software applications.
  • Advanced proficiency in Excel and related computer applications.
  • Experience working in a fast-paced environment with shifting priorities.
  • Familiarity with data processing procedures and methods.
  • Experience with CRM databases; Tessitura experience preferred.
  • Experience in the non-profit or school sector an asset.
  • Clear Child Abuse Registry Check and Criminal Background Check.

Work Setting
The Data Services Administrator works in an office environment requiring extended periods of keyboarding, database management, and report generation. Occasional on-call availability may be required for system maintenance.

The Role

Boarding Advisors play a vital role in fostering a safe, supportive, and engaging environment for student boarders aged 11-18. Working as part of a collaborative team, Boarding Advisors provide around-the-clock supervision and guidance, while also supporting non-boarding students during designated activities and events. This role is essential to enhancing all aspects of student life and programming, requiring ongoing communication with stakeholders, adaptability to shifting priorities, and timely decision-making.

Key Duties

  • Provide daily supervision, care, and support for students.
  • Serve as a positive role model and mentor, fostering respect, responsibility, and inclusion.
  • Support meaningful and active participation of all students within the community.
  • Conduct individual and group check-ins to monitor student safety and well-being.
  • Encourage and support students in completing chores, homework, and other responsibilities.
  • Plan, organize, and lead activities, events that enrich student life.
  • Accompany students to and from academic school, appointments, activities, and events by vehicle or on foot.
  • Communicate concerns from students or parents/guardians to required stakeholders as appropriate.
  • Apply appropriate and consistent discipline in line with policies and procedures.
  • Assist with crisis response and management as required.
  • Provide language support for students for whom English is an additional language.
  • Complete administrative tasks such as record keeping, documentation, and reporting.
  • Perform cleaning and facility-related duties, including scheduled cleaning weeks.
  • Other duties as assigned.

Education & Qualifications

  • Background in child and youth care, social work, psychology, education, nursing, or a related field.
  • Minimum one (1) year experience working with children or adolescents.
  • Valid class IV driver’s license; or willing and eligible to obtain within three (3) months of employment.
  • Current CPR and First Aid Certification; or willing to obtain within three (3) months of employment.
  • Certification in English as an Additional Language instruction preferred.
  • Post-secondary education an asset.
  • Additional language proficiency considered an asset.
  • Familiarity with professional dance training an asset.

Flexibility is essential, with availability required for a variety of shifts, including days, evenings, weekends, and at least one overnight shift per week as required.
